Two different operating jobs
RSS begins with physical stock in front of a person: scan a barcode, count a shelf, prepare a simple supplier order, receive goods, record a write-off and export a report. Its current native v1 is mobile-centered and local-first. It does not advertise a shipping web administration cabinet, named-member permission console, item photos, sales orders, invoices, POS integration or advanced analytics. Those gaps matter when a business needs a shared administrative system.
BoxHero starts with a central inventory workspace. Item records, photos, custom attributes, stock balances, transactions and history synchronize across a browser and mobile devices. A team can invite members and assign permissions on Business. Basic Stock In, Stock Out and Adjust Stock actions are different from its dedicated Inventory Count and Purchases & Sales features. A shop can use BoxHero for a wider operating system, while still needing to check its subscription entitlements and offline behavior in its own setting.
Permanent Free plans: compare what the limits mean
RSS Free is permanently $0. It allows up to 1,000 SKU, one device, one supplier, five open documents and 30 days of visible history. Scan, count, simple ordering, receiving, Excel/CSV import and export, local backup/restore and a local activity log are included. There is no cloud sync on Free. Sign-in is requested after 15 completed documents. The five-document ceiling is for unfinished documents open at one time, not a monthly transaction allowance.
BoxHero Personal is also a permanent free plan. Official pricing currently lists one member, 100 items, one location and 30 days of transaction history. It includes basic inventory transactions, barcode scanning, Excel import/export, real-time cloud updates and web plus mobile access. Its own pricing page separates this from a 30-day trial of Business. An item is a catalog entry; 100 items does not mean only 100 physical units may be stocked.
The Personal plan is attractive when one person wants a small shared cloud catalog visible on a phone and desktop. It also presents item photos and custom attributes in BoxHero materials. But the dedicated Inventory Count, custom barcode printing, Purchases & Sales, multiple locations and unlimited history are listed as Business advantages; do not assume a free Stock Adjustment is the same as an approved physical-count session or a purchase order.
To compare the free tiers, import 50 realistic items, including variants, then attempt a normal week of transactions. Test whether the 100-item BoxHero cap counts each variant the way your catalog needs. In RSS, open five working documents and complete one to see the simultaneous-document rule. Export both catalogs and one month of activity. If your requirement is a browser view, BoxHero Personal has a clear advantage; if it is a larger free catalog and disconnected phone count, RSS has a different fit. BoxHero Business is listed at $30 per team per month with monthly billing, or $24 per team per month billed annually, $288 for the year. It includes three members, 1,000 items, three locations and unlimited transaction history. Its current pricing page lists add-ons at $5 per extra member per month, $10 per 1,000 extra items per month and $10 per 10 extra locations per month. The add-ons are Business-only. It advertises a 30-day Business trial without requiring a credit card.
BoxHero Business also unlocks features that change the workflow: dedicated Inventory Count, custom barcode printing, low-stock alerts, reports, Purchases & Sales, returns, bundles, multiple locations and team collaboration. Compare a complete configuration rather than the starting price. If you need six named members and 2,000 items, include the member and item add-ons at current checkout terms. RSS device allowances cannot be converted into a BoxHero member price, because a device and a named person are not equivalent commercial units.

Walking to the shelf: the physical count workflow
RSS treats physical counting as a core mobile document. A worker scans an item, enters the actual shelf quantity and reviews differences from expected stock. A completed count changes the recorded stock level; an unfinished draft does not. The flow works from local on-device data and can continue without a signal. It is a useful fit for one person counting a stockroom with a phone, but the current app does not offer BoxHero-style assigned task sheets and manager approval across named members.
BoxHero has a dedicated Inventory Count feature on Business. It documents full and partial counts, search or barcode entry on phone and computer, and task sheets that can divide a count by aisle, shelf, storage area or category. Members can enter their sheets; an admin sees recorded and counted quantities side by side and approves the result before stock changes. A partial count affects selected items and locations. This is more than a generic Adjust Stock action and may be valuable to a manager coordinating several counters.
Run the same shelf through both systems. Include a missing item, one barcode that does not scan and one discrepancy requiring a recount. In BoxHero, assign two task sheets and inspect the approval trail; in RSS, inspect the draft and finalized document. Determine who is allowed to correct a count, when the on-hand number changes and how you retrieve the evidence a month later. For BoxHero Personal, verify whether a basic adjustment meets your needs, because the dedicated count is presented as a Business feature.
Barcode, QR and label work
Both products support phone-based barcode lookup for stock work. RSS is centered on camera scanning to find an item and enter a quantity. It does not currently advertise a native barcode-label designer or printer workflow. A business that already has product codes may need nothing more, but one that makes labels for unmarked parts should test that separately.

Offline use: what is established and what needs a test
RSS stores operational data in on-device SQLite. The phone can access its local catalog, scan known codes, enter count quantities and keep a draft without an internet connection. The Free plan has no cloud synchronization; paid sync occurs after connectivity returns according to the app workflow. Do not use several devices to edit the same active draft while all are offline and assume conflicts will reconcile automatically. Test a representative count with the exact phone and plan you intend to use.
BoxHero’s current official website explicitly says its mobile app can be used even when offline. That corrects older descriptions of BoxHero as simply online-only. But the current public pages reviewed do not clearly document which operations continue offline: first login, cached catalog access, opening a new count, barcode scan and quantity edits, Stock In/Out, local export, persistence after force-close, queueing, reconnect order or conflicting member edits. A broad offline marketing sentence is evidence of some offline support, not proof that every Business count step survives an outage.
Before making offline reliability a deciding factor, load the catalog online and sign in to the BoxHero mobile app. Put the phone in airplane mode, scan three real codes, start or resume a count, enter a discrepancy, close and reopen the app, then reconnect. Inspect the count, transaction log, approval state and another member’s view. Repeat with a previously unseen barcode. Ask BoxHero support about any failed step and record the answer. Perform the same test on RSS, including export if it is essential. This reveals the operational boundary more clearly than an offline badge.
Stock In, Stock Out and adjustments
BoxHero’s core transaction language is Stock In, Stock Out, Adjust Stock and Move Stock. A Stock In records inventory arriving; Stock Out records inventory leaving; Adjust Stock corrects a balance. Move Stock transfers between locations where the plan permits locations. Its mobile demo and current feature pages use these terms, and the transaction history can be filtered by item, date and location. These are stock movements, not automatically purchase or sales orders.
RSS uses operational documents: counts, simple purchase orders, receiving and write-offs. Its completed physical count is the authoritative event for setting a counted stock level. Receiving and write-off have their own documents. If your team records hundreds of inbound and outbound movements by reason and partner, model a sample week in BoxHero. If the main job is reconciling actual shelf quantity, compare the count flows. Neither system should be evaluated by relabeling the other’s transaction model.
Purchase orders, suppliers and sales documents
RSS can prepare a simple supplier purchase order, record receiving and export or share the document. Free has a one-supplier limit, while Store removes it. It does not claim a current vendor portal, customer sales orders, invoices, accounting bills or automatic approval workflow. Test a partial receipt and the document your supplier will actually accept.
BoxHero Business includes a native Purchases & Sales workflow, separate from basic Stock In and Stock Out. Official documentation describes suppliers, purchase orders, Draft, Ordered, Partially Received and Received states, and quantity updates as goods are received. It also describes sales orders, invoices, returns, taxes, discounts and branded document output. Its mobile app supports creating and editing these orders as well as browser work. This breadth can save a small wholesaler from running separate order spreadsheets.
The plan boundary matters: do not promise BoxHero Personal the Business purchase-order workflow just because it has Stock In. Conversely, do not say BoxHero lacks purchase orders based on older product snapshots. A practical trial is one two-line PO with a partial delivery, then a sales order that ships in two steps. Check status, stock changes, supplier/customer documents and export at every step.
Browser administration and mobile work
BoxHero’s web and mobile applications use a shared cloud inventory record. The browser offers a larger surface for catalog administration, member settings, reports and orders, while the mobile app handles barcode scans, stock transactions, counts and, according to the current mobile purchase guide, purchase and sales orders. BoxHero also offers desktop apps. The exact controls should be tested on the devices your staff use; synchronized access does not mean every screen has identical layout.
RSS native v1 centers on iOS and Android. It can export spreadsheets and documents, and paid tiers synchronize across an account’s allowed devices. It does not currently ship a web cabinet or named-member administration UI. A manager who must review activity or print labels from a desktop should give BoxHero a serious trial. A sole operator who spends most of the day at shelves may value a shorter mobile workflow.
BoxHero members and RSS devices are different units
RSS paid plans are billed per account and permit a specified number of registered devices: one on Free, up to three on Store, five on Multi-Store and twenty on Business. These are device allowances, not user seats or named permission licenses. The current native app does not advertise an invitation-based team role system. If several employees share one device, or one person has multiple devices, count the actual devices when selecting a tier.
BoxHero prices Business per team with three included members and optional extra members. Member roles and permissions allow a business to decide who may manage stock, costs or orders. The Personal plan has one member. A single BoxHero member might use more than one device; one RSS device might be shared by people. Neither fact makes one member equal one device. Write down how many humans need their own login, how many devices will be active, and what each person must be allowed to change.

Locations and transfers
BoxHero Personal lists one location. Business includes three, offers a location add-on, tracks on-hand stock by location and documents moves between sites with history. A business receiving at one stockroom and selling from another should test a transfer and confirm which location owns the quantity throughout. Location-specific permissions, if critical, need confirmation for the exact role setup.
RSS Multi-Store is a subscription name, not evidence of a current multiple-location feature. Native v1 does not advertise separate store balances, location transfer records or a location administration UI. Its Multi-Store tier increases device and visible-history allowances. Photos, item detail and visual catalogs
BoxHero’s mobile guide shows adding an item with a photo, SKU, barcode and attributes; its pricing page highlights custom attributes. Photos and detail fields help distinguish similar spare parts, colors or packaging. Verify any photo limits and the export format before migrating a photo-heavy catalog. A spreadsheet export may contain fields or links rather than the original image files.
RSS native v1 does not advertise item photos or a visual catalog. It focuses on identifiers, quantities and documents. If visual recognition is essential because products have weak labels, BoxHero’s image-based item records are a concrete advantage. If every product already has a reliable code, a phone-first scan and count may be enough without maintaining photos.
History, audit and reporting
RSS Free exposes 30 days of visible history; Store one year; Multi-Store three years; Business unlimited. Older local records are hidden by the retention rule rather than automatically deleted. The current native app has a local activity log and spreadsheet/document exports, but does not advertise advanced dashboards or a public API. Test the export date range you need for an audit.
BoxHero Personal lists 30 days of transaction history and Business unlimited. Business also lists reporting, past quantity, transaction summaries and inventory count review. Official materials describe member collaboration and transaction histories; check the specific attribution and edit trail required by your auditor. Import, export and data portability
RSS imports and exports Excel and CSV and supports local backup and restore. Before migration, inspect SKU, barcode, quantity and supplier fields in a small file, then check errors and duplicates. Exporting a count or order does not make the app a full financial ledger.
BoxHero documents Excel templates, item and partner imports, bulk quantity adjustments and Excel exports of items, transaction history and order documents. These are practical handoff routes. The current official pages reviewed did not clearly establish every CSV path or whether original image bytes are included in an export, so confirm those needs with a sample download. An export is only useful if its fields, date range and file format work for your next system.
API and integrations
BoxHero advertises an Open API and webhooks for inventory updates and custom connections to other business systems. Its integration page discusses e-commerce, CRM, 3PL, vendor and accounting use cases, but a possibility is not a named turnkey integration. Check current plan entitlement, API limits, endpoint coverage and sync direction before promising automation. A custom integration requires implementation and maintenance.
RSS native v1 offers spreadsheet exchange, not a public API or advertised POS/accounting integrations. If a continuous link to an online storefront is a requirement, trial BoxHero’s actual connector or API path with a representative order. If a reviewed weekly file is acceptable, the simpler import/export path may be easier to maintain.
Setup effort and operational ownership
An RSS trial can start with a phone, a small catalog and a shelf count. Its focused scope reduces the number of records to configure, but someone still needs to decide SKU conventions, supplier naming, backup practice and whether the Free device limit works. Paid cloud sync should be checked on the actual devices, especially if the same account is used by several people.

Which product may fit your workflow?
A single shop, café, salon or repair bench whose main need is low-cost phone counting and simple reorder documents should trial RSS. A basement stockroom or pop-up with unreliable connectivity should run the offline test before committing to either system. RSS’s local-first architecture gives a clearer documented path for disconnected shelf work; BoxHero also markets offline mobile use, but the detailed boundary needs direct testing.
A business with named staff permissions, a browser administrator, photo-rich items, label printing, purchase and sales orders, or separate location balances should trial BoxHero Business. BoxHero is especially relevant when several people need to divide a count into task sheets and a manager must approve the differences. A one-person operation with fewer than 100 items may find Personal useful at no charge. Migration in either direction
Normalize SKUs, barcodes, variants and units before moving files. Start with 20 to 50 representative items; compare imported names, quantities and identifiers against the source. BoxHero’s photos, attributes, member roles, location balances, transaction and order history do not automatically become RSS features. Moving from BoxHero to RSS may therefore be a scope reduction, and a single total cannot replace several location balances without a documented allocation.
Moving from RSS to BoxHero means mapping the RSS catalog and stock into BoxHero items and locations, then deciding whether old counts, orders or supplier records need a readable archive. Neither direction is a one-click migration established by current documentation. Keep the old system accessible, export records within the allowed history window, reconcile opening balances with a physical sample and run one real receiving event before cutover.
A practical checklist before choosing
Use the exact plan, phone, browser and staff roles you expect to pay for. Put real barcodes and imperfect data into the test. Record what works, what requires an upgrade and what needs support clarification. Pay particular attention to the offline steps, because a general marketing promise does not identify which draft or transaction survives an app restart.
- Import 20–50 actual products, including variants and an unrecognized barcode.
- Count a shelf with a mismatch, recount and inspect when stock changes.
- In BoxHero Business, divide a count between two members and approve it.

RSS merits a trial when a mobile, local-first count and modest supplier replenishment are the daily work. BoxHero merits a trial when inventory must be shared across web and mobile with named members, location balances, barcode labels, team counts or purchase and sales documents. The fairest comparison is the cost and reliability of your complete workflow, not the largest feature list or the lowest headline price.
