Physical stock operations
Inventory counting app for small businesses
A simple mobile app for businesses that need to count physical stock, scan barcodes, record quantities, prepare purchase orders, and share inventory reports—without complicated inventory software. The same loop covers products, parts, supplies, and consumables.
Count, reorder, then report
This is the operational loop the app is built for. It is not a substitute for an ERP, a warehouse system, or a till.
1. Create or import a catalog
Add products, parts, supplies, or consumables by hand, or import a spreadsheet. Keep a simple catalog that matches what you actually count.
2. Scan a barcode or select the item
Use the phone camera on labeled stock, or pick an item from the catalog when there is no barcode.
3. Record the physical quantity
Enter what is on the shelf, in the bin, in the closet, or in the van. Count what is physically on hand.
4. Complete the stock count
Finish the session so the counted quantities are saved as a document you can review later.
5. Identify replenishment needs
Compare what you counted with what you expected to have. Shortages become the list you actually need to reorder.
6. Prepare purchase orders where useful
Turn counted shortages into a structured purchase order you can send to a supplier. Skip this step when the count is only for reporting.
7. Export CSV or Excel
Generate a clean spreadsheet from the count or order. The file is yours to keep, attach, or archive.
8. Share the report
Send the file to an owner, manager, accountant, supplier, or head office through email, messaging, or the channels you already use.
Where small businesses count physical stock
If the work is periodic counting of products, parts, supplies, or consumables, the app may fit. It is not built to track every business asset.
Store shelves
Walk aisles and displays, scan labeled goods, and record what is actually facing the customer.
Café supplies
Count beans, milks, syrups, cups, and packaged goods in the bar, cooler, or back room.
Salon consumables
Audit color tubes, backbar bottles, retail haircare, and station disposables between appointments.
Workshop parts
Count replacement parts, fasteners, and service consumables in bins, racks, and workbenches.
Cleaning supplies
Check chemicals, paper goods, liners, and safety gear in custodial closets and carts.
Stockroom materials
Walk shelves and bins in a small stockroom and record products, parts, or packaging on hand.
Service-van parts
Audit drawers and crates in a van or field kit, then send a shortage list back to the shop.
Branch inventory
Staff at a kiosk, workshop, or remote site count locally and send a spreadsheet to head office.
What this app is not
Retail Scan & Stock is designed for physical stock counting, reordering, and reporting. It is not a full ERP, warehouse-management system, asset checkout platform, POS system, or accounting suite. It does not do recipe costing, work-order management, serial-number tracking, batch or lot compliance, or real-time perpetual inventory across every business process.
Frequently asked questions
- Is this inventory management software for every business?
- No. It is a mobile app for counting physical stock, preparing purchase orders, and sharing CSV or Excel reports. Businesses without shelves, bins, closets, vans, or similar stocked locations are outside this workflow.
- Do I need POS or ERP integration to use it?
- No. Count on the phone, export a file, and share it. Paid plans can add cloud sync across supported devices in the same account. POS and ERP connections are not part of the current product.
- How is this different from the retail stock counting page?
- The retail page is for stores, shop floors, and store replenishment. This page is the broader small-business counting loop. Retail remains a high-value vertical inside that category.
